Team & Roles
User accounts, roles, and teams are managed under Admin Settings by Managers and above, on two pages: User Management and Team Management.
Every user has exactly one role. Each role includes everything below it:

| Viewer | Read-only access to evaluations and dashboards. |
| Analyst | Run the evaluation workflow: create evaluations, review and confirm results, cancel evaluations, manage student direct links. |
| Manager | Configure the institution: programs and courses, blocked institutions, admin settings, users and teams, webhooks, domain whitelist, results page content, HTML forms; edit student details on evaluations. |
| Admin | Everything, plus Billing & Usage where enabled. |
Assign the lowest role that covers the person’s job — most evaluators only need Analyst.
Managing users
Section titled “Managing users”On Admin Settings › User Management you can filter by name, role, or team, and switch between card and table views.
- Add User — enter first name, last name, and email, choose a Role, and optionally assign Teams. The user signs in with that email address (see Signing in).
- Edit User — change details, role, or team membership.
- Delete User — remove access. Do this promptly when someone leaves; their past evaluation activity remains attributed to them.
Teams scope which programs a user works with — useful when separate groups handle separate programs (Nursing vs. Business, undergraduate vs. graduate).
On Admin Settings › Team Management:
- Add Team — name the team and select its Programs.
- Edit Team — adjust the name or program list.
- Delete Team — remove the grouping (users remain, programs remain).
Assign users to teams in User Management. A user in a team sees that team’s programs in their day-to-day work; users without team restrictions work across all programs.
