Evaluation Statuses & Lists

Every evaluation lives in one of four lists under Evaluations in the sidebar. Each list has the same tools: a search box, a program filter, a date filter, and a paginated table.

Status Meaning
Pending The evaluation is either still processing (the AI is reading and matching the transcript) or waiting in review for an evaluator to check and confirm results.
Completed An evaluator finished the evaluation. It’s read-only from here; the PDF can be downloaded or emailed at any time.
Failed Processing could not finish — usually an unreadable document. Re-upload in a new evaluation.
Canceled Someone canceled the evaluation and recorded a reason.

Evaluations created from your website form start as Leads under Marketer › Leads — see Website embed form.

Open the row menu () on any pending evaluation:

  • Edit Student (Manager and above) — correct the student’s name, email, or program details.
  • Cancel Evaluation — stops the evaluation. You’ll pick a reason from a list (choosing Other asks for details). Canceling is irreversible — the evaluation moves to the Canceled list and can’t be resumed; upload again to re-evaluate.

Click a pending evaluation to open it for review.

From the row menu on a completed evaluation:

  • Edit Student — fix contact details (the evaluation itself stays read-only).
  • Download PDF — save the evaluation summary.
  • Email PDF — send the summary to the student (the recipient defaults to the student’s email).

Opening a completed evaluation shows the full review and confirmed results in read-only mode, so you can always trace how the outcome was reached.

A failed evaluation means the document couldn’t be processed — most often a blurry photo, a cropped page, or a password-protected PDF. The fix is a better document: see Troubleshooting, then create a fresh evaluation with the improved file.
